Retainer billing for small studios: a simple monthly routine
Small studios rarely have a billing problem. They have a routine problem: invoices go out when someone remembers, reminders depend on mood, and nobody looks at the whole picture until cash is tight.
Pick one invoice day
Send every retainer invoice on the first working day of the month. Clients learn to expect it, and you stop thinking about it.
Keep a reminder schedule
Two days before the due date, seven days after, fourteen days after. The same for every client, so nobody feels singled out.
Look at the whole list once a week
Ten minutes on Monday: which invoices are open, which retainers renew this month, which clients changed contacts. Two or three names will need a call.
Write down the renewal dates
Most retainers that end quietly do so at renewal. A note thirty days before each renewal date gives you time to talk scope and rate.
None of this needs software. It needs to happen every month, which is where software helps.
